The AI assistant use case hiding in plain sight in your company

We ask every prospective client the same question early in our first call: "What's the one task your team does manually that you wish you didn't have to?"

The answers are always more specific than we expect. And they're almost always the same type of thing: a task that's repetitive, knowledge-heavy, and time-consuming — but not difficult enough to hire for, and not simple enough to automate with traditional tools.

That gap is exactly where AI assistants are most useful.

What to look for

The clearest signal is a task that requires someone to read something, know something, and then produce something.

Reading an incoming email and knowing which team member should handle it. Reading a customer's history and knowing what response tone is appropriate. Reading a product specification and knowing which option fits a client's requirements.

These tasks look easy from the outside. But they require judgment — and judgment at volume is expensive.

Common patterns we see

The triage problem — a team receives a high volume of incoming requests and spends significant time sorting them before anyone can actually respond. An assistant that reads, categorizes, prioritizes, and routes can eliminate most of that overhead.

The knowledge problem — a team spends time answering questions that have known answers, but the answers live in documentation that isn't always easy to navigate. An assistant trained on that knowledge base can answer those questions instantly.

The reporting problem — a team produces regular summaries by manually pulling data and writing it up. An assistant with access to the right data can produce those summaries in seconds.

How to spot yours

Start by mapping your team's week. Where does time go that doesn't feel like it should? What tasks do you keep doing the same way, over and over? What information do you consult repeatedly before making a decision?

Somewhere in that map is a workflow that an AI assistant could take off your plate entirely, or compress from an hour to a few minutes.

If you'd like to work through this with someone who's done it before, book a discovery call. We'll help you find it — and tell you honestly what an assistant would and wouldn't be able to do.
